OSM Employee Rules and Regulations
 
 

 
 

DRESS
Your work uniform will consist of an OSM logo shirt and a visor.  You will be provided with two tee shirts and a visor which must be returned upon resignation or dismissal.   If you wish, you may purchase different or additional uniform merchandise by alerting your manager.  Your uniform must be worn every day, and we strongly suggest you leave your visor at work to avoid accidentally leaving it at home.   Rules for pants/shorts and shoes are as follows:
• Wear clothing that you do not mind messing up.  You will not be allowed a break to wash a stain out of an article of clothing.  Snowballs are messy, and you will spill flavors on your clothing.   Most will come out in the laundry, but do not rely on this.
• Wear comfortable shoes, preferably with non-slip soles.  Flip-flops are okay, but be careful – the floors are wet and slippery.   We do not want anyone injuring themselves.
• Do not wear anything overtly offensive.  (Profane logos are not allowed.)

DUTIES
• Snowballs – The majority of your job will consist of making snowballs.  If you are unsure of what is written on an order form, do not attempt to guess.  Ask the cashier what is written, and if they are unsure, have them ask the customer for verification.   It takes each person a different amount of time to reach a comfort zone with making snowballs, and it is important to not rush yourself.  We prefer accuracy to speed, so do not rush to keep up with your fellow employees.   You will find your own pace in time.
• Cleaning – On any slow day, or at any time your supervisor sees fit, you will be assigned cleaning duties.   These are to be completed to the described specifications, as outlined by your supervisor.  You are also required (along with your fellow employees) to fill out the Closing Checklist at the end of the night, and have it verified by your supervisor.   Occasionally, this requirement will be waived, but do not assume that is the case; always check with your supervisor before leaving at the end of the night.
• Filling – Keeping flavors full is extremely important.  When you have a break in business, check to see which flavors need to be filled, and get the jugs from the back room.   If you need to fill a flavor that is not available to you, alert your supervisor.  Also, keep cups, spoons, napkins, and other supplies filled as necessary.
• Lifting – There will be minor lifting involved with your job.  This includes, but is not limited to: carrying ice, marshmallow, and flavors.   Be aware of proper lifting techniques, and to avoid injury or accident, do not lift more than you are able.

REGISTER
Register duties are not given to trainees.  Working as cashier requires a significant understanding of our menu and rules, so first training to make the snowballs is vital.   Not everyone will be trained on register.  It is a difficult and stressful job, and if we feel your talents are best put to use in other areas, we will not train you for the register.

FREE SNOWBALLS
You are allowed one free snowball per day.  Because of past problems with employee dishonesty, we must limit this snowball to a large, but you may have any extras you desire.   If you get a snowball for yourself while you are off-duty, make sure the cashier knows that you are an employee, and that the snowball is for you.  You absolutely may not have free snowballs for friends or family members.  Your free snowball is also not for sharing; it is for you alone.   The same rules apply to ice cream, which you may purchase for half price.

DISHONESTY/THEFT
Dishonesty/Theft may constitute any of the following:
• Destruction of property.  This includes malicious or thoughtless destruction to the building, supplies, or machinery.   If you accidentally break something, inform your supervisor immediately.  Everyone makes mistakes, and most are far more minor than you may picture them to be.   Bottles, ice picks, and other minor supplies will get broken – we ask that you be careful, but take responsibility for your mistakes.  If you alert us to something you have broken, disciplinary measures are almost always unnecessary.   If you attempt to disguise such an action by discarding the evidence, blaming a fellow employee, or leaving the broken item to be found by someone else, this can lead to further damage or injury and is grounds for reprimand or dismissal at our discretion.
• Giving away your free snowballs or other discounted products to friends or family members.   As mentioned above, your free snowballs are yours alone.  If you are found sharing or giving away your free snowball or other discounted product, it is dishonesty equivalent to stealing, and is grounds for firing at our discretion.
• Stealing from the business.  This includes theft of cash, supplies, or machinery.   If you are found stealing from the register, stealing supplies, or in any other way stealing from the company, you will be immediately fired, and the police will be involved at our discretion.
• Stealing from your fellow employees.  This includes theft from tip cups, or from personal belongings such as backpacks or purses.   If you are found stealing from a fellow employee, you will be fired, and the police will be involved at our and your coworker's discretion.
Dishonesty in any form is not accepted ; everyone makes mistakes, and we ask that you take responsibility for your actions.  We also have security cameras running in the snowball stand at all times.

HYGIENE
Because we are in constant contact with one another, and we work in very close quarters, it is imperative that you shower (with soap) and brush your teeth on a daily basis.   It is unfair to make your fellow employees suffer from your bad hygiene, and unwise to do so in such close proximity to your employers.  Also, you must launder your uniform regularly.   If you are unable to follow basic hygienic procedures, we will ask you to leave.

FRIENDLINESS
We are a family-run, family-patronized business.  We wish to convey a friendly atmosphere to our customers, which means our employees must make an effort to be in good spirits.   Always say "thank you" to customers, and treat them with respect.  While we understand that everyone has an off day and we do not expect you to be perky every day you are on the job, a consistently sour disposition will lead to very few scheduled hours, and dismissal if it is of a certain severity.   If a customer is being aggressive or cruel to you, do not reciprocate their actions.  Instead, alert your supervisor, who has experience dealing with irate customers.   It is also wise to maintain a pleasant attitude with your supervisors and coworkers – no one enjoys working with a miserable person, and a consistently poor attitude may lead to dismissal.   While working here can sometimes be stressful, we try to provide a lighthearted, enjoyable atmosphere for our employees.  If you maintain a pleasant attitude and work hard, you will find that your supervisors and coworkers will reciprocate, and the job can be something fun that you actually look forward to on a daily basis.

 MANAGERS/INSUBORDINATION
There is a chain of command in every business that must be followed.  Most of your direct managerial contact will be with Althea (the owner), who is in charge of customer and employee relations and supervising the floor.   She is your main contact within the business – any questions you have (excluding scheduling) may be directed towards her.  If she is unavailable, questions may be directed to Nik (the manager), who is in charge of scheduling, payroll, and supplies.   If you have a scheduling question, but Nik is not available, you may leave her a note on the calendar, and alert Althea.  If Nik and Althea are unavailable, authority goes to the employee present who has seniority, and you required to respect that chain of command.   You must follow instructions given to you by a supervisor.  We do not make unreasonable requests of you, thus insubordination is not tolerated.   We ask that while on duty, you work – there is rarely an excuse to be idle.

 MISTAKES
If an unfixable mistake is made on a snowball (such as the wrong flavor was added), knock the cone off the snowball, put a lid on it, label the cup with the flavor and your name, and place it in the door of the ice cream storage freezer.   Then, fill out the mistake form on the outside of the freezer.  This form is checked regularly; if snowballs are not marked properly, we will be able to discern who is at fault, so do not attempt to avoid responsibility for a mistake by not properly marking it.   If your mistakes become too frequent, you will not be allowed to make snowballs for your own consumption, but instead may take home your mistakes.  If a mistake is made and there is an attempt to hide it (it is washed down the drain, thrown away, labeled with someone else's name, etc.) you will be reprimanded, as the aforementioned dishonesty policy dictates.

CALLING OUT
If you are unable to show up for work due to illness or emergency, you must call to let us know as far in advance as possible so we may try to cover your shift.   If you are calling out sick, you must call at least three hours prior to the start of your shift.  If there is an emergency, you will be asked to provide documentation to prove your whereabouts.   Failure to provide documentation makes it an unexcused absence.  Our season is very short, and you should not have reason to be making constant call-outs.   Abuse of the system (including unexcused absences, frequent call-outs, and failure to give proper notice) may result in dismissal.

CONTACT INFORMATION
You are required to furnish your primary phone number, as well as secondary phone numbers such as a cell phone or second parent's home phone so that we may contact you in the event of a no call/no show or if we need to cover a shift.   At the bottom of this form, we have provided you with the primary phone number for OSM, as well as cell phone numbers in order to reach Nik and Althea in case of emergency.   These phone numbers are not to be shared with the public.  You may provide your parents with a copy of the main phone number, should they need to contact you for an emergency during a shift, but providing these phone numbers to friends or family members for frivolous purposes is grounds for dismissal.   We do not have a public phone number for customers to call; these are our personal numbers, and thus are employee-access phone numbers only.

VACATIONS/REQUESTS OFF
We ask that you alert us of vacations and required days off as soon as possible.  We try to make our schedule as far in advance as possible, so that you may schedule outside activities around your work schedule.  If you find that you need a day off that you are already scheduled for, we will try to cover your shift for you.   If no one is willing to cover the shift, it is counted as an unexcused absence.
